About the Role

We are seeking a detail-oriented and organized Material Ordering Specialist to join our team. The ideal candidate will be responsible for managing the procurement and ordering of materials required for the fire sprinkler and fire alarm departments. This role involves coordinating with suppliers, monitoring inventory levels, tracking shipments, and ensuring the timely availability of materials. The Material Ordering Specialist will also play a key role in maintaining cost-effective purchasing practices and contributing to the overall efficiency of the company.


Key Responsibilities:


Material Ordering & Procurement:

  • Ensure the timely ordering of materials based on production schedules and inventory needs.

  • Maintain strong relationships with suppliers and vendors to secure the best prices,delivery times, and quality of materials.

  • Create purchase orders (POs) and ensure they are processed accurately and in a timely manner.

  • Monitor material inventory levels and reorder as necessary to avoid delays.

Inventory Management:

  • Track material usage and monitor inventory to ensure adequate stock levels are maintained without over-ordering.

  • Conduct regular inventory checks and reconcile physical stock with the records.

  • Collaborate with inventory management and production teams to forecast material needs.

Supplier Relations:

  • Communicate regularly with suppliers to follow up on orders and resolve any delivery or quality issues.

  • Maintain accurate records of supplier performance, including delivery timelines and quality of materials.

  • Negotiate with suppliers to ensure competitive pricing, cost savings, and favorable terms.

Documentation & Reporting:

  • Maintain accurate and up-to-date records of purchase orders, deliveries, and material usage.

  • o Prepare reports on material ordering trends, inventory levels, and procurement performance for management review.

  • Process and resolve any material discrepancies, such as shortages, overages, or quality issues.

Collaboration & Coordination:

  • Work closely with designers and installers to ensure materials are delivered on time and in the required quantities.

  • Collaborate with the finance team to ensure purchase orders align with budget constraints.

  • Assist in resolving supply chain disruptions and material shortages to prevent delays.

Job Requirements

Education:

  • High School Diploma or equivalent.

Experience:

  • Some experience in purchasing or material management a plus but not required.

  • Knowledge of plumbing, fire sprinkler and or fire alarm material a plus but not required.

Skills:

  • Strong organizational and multitasking skills.

  • Excellent communication skills, both written and verbal.

  • Ability to negotiate with suppliers and vendors effectively.

  • Detail-oriented with a focus on accuracy and timeliness.

  • Proficient in Microsoft Office (Excel, Word, etc.).

Additional Requirements:

  • Strong problem-solving abilities and the ability to work under pressure.

  • Ability to work both independently and as part of a team.

  • Familiarity with safety standards and compliance regulations related to material procurement and handling.
